Description

Responsibilities:

Provide direct administrative support to senior director, print and electronic publishing

*

Maintain electronic and hard files, and handle regular filing and organizational duties

*

Process invoices, purchase orders, and vendor contracts

*

Maintain calendar and provide scheduling support as needed.

*

Manage time sheets for print and electronic publishing

*

Assist with meeting planning: scheduling, agenda distribution, note taking, materials development, food ordering when necessary

*

Process expense reports and Amex bills and prepare check requests

*

Arrange travel for senior director and when needed, others on staff

*

Handle telephone and e-mail inquiries, direct callers to appropriate staff both within and outside the unit

*

Help support annual budget and performance review process

*

Perform other duties as assigned

Provide administrative and technical HTML e-mail support along with project coordination and scheduling support for the Electronic Communications unit

*

Collaborate with EComm director to maintain a list of new and ongoing EComm projects

*

Manage the intake, creation, and dissemination of HTML e-mails

*

Document and maintain HTML e-mail procedures

*

Provide ongoing support, scheduling, and content development for Web contributor s form

*

Provide ongoing support, scheduling, and content for EComm s CoreMedia/CMS training

*

Cultivate and maintain strong relationships with EComm clients

Provide support on a range of communication tasks for AAMC print and electronic publishing..

* Serve as primary contact for intake and execution of various Communication s Pulse pages (any reason this can t be handled by Web requests? If not, leave as is)
* Provide support for and assist with audio and video podcast recording and editing, and prepping for Web site publishing
* Assist with video project intake and editing, including branding and developing best practices
* Edit AAMC video footage for branding, product consistency, and Web site presentation
* Maintain AAMC presence in the iTunes store and other 3rd party podcast distribution outlets
* Take photographs as needed
* Serve as a backup for updating AAMC lobby monitors

Provide other communication support as needed

* Serve as one of Communication s liaisons/expert sin Vovici and SharePoint
* Serve as back up for DAME listings
* Serve as Creative Services intake back up when needed
* Provide admin support to Creative and Editorial Services as needed
* Help maintain publication library
* Assist with intake and tracking of copydesk items

Requirements

Requirements:

* 2-5 years of hands-on experience in administrative work, multi-media communications, Web publishing, editorial assistant work.
* College degree in English, journalism, communications, design, or similar four-year undergraduate program highly desirable.
*

Strong knowledge of standard communication software packages, such as Microsoft Office. Working knowledge of the Adobe suite, standard audio and video editing software, along with other specialized software and hardware knowledge, including CMS, desirable.

*

Strong written and verbal communication skills required.

*

Basic knowledge of HTML and standard Web publishing practices.

*

Basic knowledge of digital photography and digital audio recording.

*

Knowledge of electronic publishing and practices desirable.

*

Must be a highly collaborative team player capable of working with multiple staff members. on a wide range of projects.

*

Must be flexible and versatile, able to learn new things quickly; must be able to innovate/improvise as needed.

*

Ability to manage a large number of complex projects and to juggle multiple deadlines

*

Must have strong customer service skills.

*

Experience working in higher education or medical or biological sciences a plus, but not required.
