Job Description

This is an excellent opportunity to work for one of the top law firms in the U.S. Davis Wright Tremaine LLP is looking for an Operations Manager to join our team in Washington D.C. 

This position is responsible for overseeing the Office Services, Reception and Concierge employees in the Washington, D.C. office, including supervising, maintaining facilities and overseeing office events. The Operations Manager reports directly to the Office Administrator.

Your contribution includes: 
  •  Providing daily supervision and oversight to all Office Services, Reception and Concierge staff (currently a team of four) including hiring, feedback, goal setting, complaint resolution and termination
  • Overseeing and acting as point of contact for issues related to office/facilities maintenance, office furniture moves and supplies; maintain accurate records relating to the department
  • Maintaining a collaborative relationship, and act as liaison with, building management group for building-related issues including security, parking garage and general work orders and maintenance requests
  • Planning, executing and coordinating with Partner-In-Charge, Practice Management, Marketing Department, IT Department and Office Administrator on office/client internal events, including arranging building access for guests/vendors, coordinate/confirm IT requests, serve as advisor to event hosts on special procedures or restrictions with respect to use of conference space, etc.
  • Managing and/or assisting with special events in collaboration with the Partner-in-Charge, Office Administrator and other departments as necessary
  • Analyzing and evaluating support services workflows to improve efficiency and productivity
  • Revising office staff schedules to provide coverage when staffing issues arise
  • Working with and maintaining positive relationships with office and firm-wide departments, vendors and other community contacts
  • Creating and monitoring budgets associated with the department, review and process expenses related to office services functions, including facilities, maintenance, hospitality and office supplies and events; evaluate and conduct yearly cost comparisons of vendor services and office supplies
  • Teaming with others in the firm to support firm-wide events as needed
  • Assisting with projects related to a full office move
  • Assisting in other matters and duties as assigned
Join us if you have:
  •  2+ years’ experience in event planning and/or support/office services
  • 5+ years’ experience in a supervisory or management position 
  • Solutions oriented, customer service and team focused attitude
  • Ability to organize assignments; work under pressure and meet deadlines
  • Strong interpersonal and communication skills; ability to handle stressful situations in a calm, composed manner
  • High attention to detail with the ability to prioritize, organize, adapt to change and problem solve
  • Maintain an extensive knowledge of Washington, D.C. area restaurants, hotels and venues
  • Previous experience with budget oversight and expense control 
  • Proven experience managing large events, including team collaboration
  • Strong computer skills with a knowledge of Microsoft Outlook, Word and Excel is required; knowledge of all MS Office products strongly preferred 
  • Ability to speak, read and write English 
Physical Requirements:  While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel and reach with hands and arms. The employee is frequently required to sit; stand; walk; and occasionally stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds.  Specific vision abilities required by this job include close vision, color vision, depth perception and ability to adjust focus.
