Job Title: Event Manager Exemption Status: Exempt
Department/Location: Pastoral Services/Diocese of Tucson Pastoral Center
Primary Function: Under the direction of the Director of Pastoral Services, is responsible for assisting with the marketing strategy and planning successful events for the Diocese of Tucson/St. Augustine Cathedral Event and Conference Center from start to finish.
Essential Duties and Responsibilities:
§ Performs in support of the mission of the Parish and Catholic Church.
§ Shall abide by Catholic principles in the employee’s professional and public life and shall govern his/her professional and public life in accordance with Catholic morals and principles to demonstrate adherence to Catholic moral strictures.
§ Coordinates various internal and third party, large and small, special events, receptions, convocations and business meetings, to include organizing resources, tours, meetings and event processes. Understand the complex needs of different events and diverse clients.
§ Creates proposals, contracts and invoices for clients, sponsors and vendors. Manage proposal and contract tracking.
§ Manage and secure all required contracts, invoices, proof of insurance, jurisdictional permits and any other applicable documentation as needed.
§ Maintain accurate and up to date contact listings, records and files for all events.
§ Develop a network of event vendors that make planning each event a simple process.
§ Coordinate with vendors, exhibitors, subcontractors, and governmental entities during event planning and through event execution.
§ Manage event set up, tear down and follow up, to include, organizational tools, productional timelines, contact lists and onsite delivery schedules. Track event key performance area and identify items to work on for future events.
§ Managing and overseeing events on the day of, including problem-solving, directing event set-up, and organizing vendors.
§ Manages collateral production for printed materials, brochures and other marketing pieces.
§ Attend community functions to network and identify potential opportunities.
§ Identify potential clients and opportunities through attendance and networking at community functions and create/manage campaigns (digital and print) to capitalize on those opportunities.
§ Understanding of commercial kitchen operations and catering methodologies.
§ Perform other duties as assigned.
Physical/Mental Requirements: Requires coordination and manual dexterity, normal mental and visual ability; ability to lift in a normal office environment
Required Activities: Walking; sitting; standing; kneeling; stooping; reaching; talking; handling; hearing; carrying; and keyboarding
§ A working knowledge of, and a strong commitment to the mission of the Catholic Church; must be a practicing Catholic in full communion with the Church
§ Excellent communications skills including written, verbal, public speaking, and presentation skills
§ Excellent human relations and interpersonal skills; must be a self-starter and be well-organized; must be a team player; strong leadership skills
§ Excellent time management skill and ability to manage multiple tasks simultaneously required
§ The ability to work under strict deadlines
§ Proficiency in the use of computer technology including word processing and the use of spreadsheets, databases, event planning software and related technology; ability to maintain confidentiality
§ Capable of working with internal and external teams and partners
§ Experience coordinating small and large scale events
§ Proven track record of identifying and maximizing event opportunities
§ Be available for evening and weekend work as necessary; have reliable transportation
§ The ability to successfully complete a criminal history and background check
§ Professional bearing and clean and neat personal appearance
Education and Experience:
§ Bachelor’s Degree in Hospitality Management, Marketing or related field
§ Successfully worked on events for minimum of 3-5 years
§ Experience in event management
§ Certified Meeting Professional (CMP), or similar certification
